How to Upload Exhibits and Files During Depositions


Overview

Zoom Chat allows participants to share files—including exhibits, images, videos, and links—during depositions. This ensures that all attendees can view and download necessary materials quickly and efficiently. Participants can still share their screen for all participants to see the file. The following steps should help your participants with sharing files to the Zoom Call.


Steps to Upload Exhibits in Zoom Chat

Step 1: Open the Chat Window

  • Click the Chat button on the Zoom meeting toolbar.
  • The Chat panel will appear on the right side of your Zoom window.

Step 2: Select Participants to Share With

  • Use the To: dropdown at the bottom of the Chat panel.
  • Choose Everyone to share with all meeting participants, or select a specific participant.

Step 3: Upload the File

  • Drag and drop the file directly into the Chat box.
  • Alternatively, Click the File icon (paperclip symbol) at the bottom of the Chat panel.
    • Choose Your Computer to locate and upload the file.

Step 4: Share the File

  • Once attached, press Enter or click the Send button.
  • The file will appear in the Chat panel for participants to download or view.

Important Notes

  • File size limit: Up to 1 GB.
  • Video files: Recipients can play videos directly in the Chat window (no download required).
  • Zoom Docs links: When shared in the Chat, Zoom automatically displays the document title instead of a hyperlink.
  • Admin settings: Account owners and admins can set file type and size restrictions.

Tips for Effective Exhibit Sharing

  • Use clear and descriptive file names for easy identification.
  • Confirm that all intended participants can see the file in the Chat.
  • Verbally notify participants when an exhibit is uploaded.

Objections to Uploading files:

  • The Zoom Chat uses Zoom's standard chat encryption.
  • Participants can choose to share their screen and email the file to exhibits@filevine.com

If a file fails to upload:

  • Check the file size and ensure it does not exceed 1 GB.

DR-Perspective Troubleshooting

  • Check if you are signed out of your personal Zoom Account. If you are, sign out and follow the below steps.
  • I don't see the exhibits app. How do I access it?
    • To access the exhibits app, navigate to the "Apps" tab on the bottom of your Zoom screen. Click the tab, and a sidebar should appear. The Depositions by Filevine's App should be the first application on this screen.
  • I still don't see the app. Where is it?
    • If you have opened the app sidebar, and the app still is not available, you are most likely signed into your personal Zoom account. See below for instructions on how to sign out of Zoom, while still in the call.
      • If you have a Mac:
        • While in the Zoom application, navigate to the top righthand corner of your screen and click on zoom.us. Click sign out. Now reopen the app sidebar, and the Depositions App should be available.
      • If you have a PC:
        • While in the Zoom application, navigate to the bottom righthand corner of your Start bar. Click on the Zoom icon and choose "Sign out." Now reopen the app sidebar, and the Depositions App should be available.
  • How do I invite an attendee?
    • Click the "Invite" button in the top right corner of the app. Invite the attendee who wishes to use the app.
  • An attendee asked me to edit the exhibit name/reorder exhibits/delete an exhibit. Can I do this?
    • Yes! To rename an exhibit, click the pencil icon on the exhibit to rename. To delete an exhibit, click the X icon next to the exhibit. To reorder exhibits, just drag and drop them to the correct place.
  • I sent the invitation to the attendees, but they lost it. How can I resend it?
    • The invitation to the app will always be in the chat. But you can always resend the invitation in the same way you did initially.
  • An attendee asked me to present for them How can I do this?
    • At this time, DRs do not have the ability to share exhibits for attendees. Kindly ask them to share their own exhibits and explain you do not yet have the ability to do so.

Client-Perspective Troubleshooting

  • An attendee said they uploaded the exhibit but they can't share it, and I can't see it.
    • If they uploaded the exhibit and can see it themselves, but no on else has access, they have not yet introduced the exhibit. Tell them to click "Introduce" on their exhibit, then check their exhibits tab for the document they uploaded.
  • An attendee introduced the exhibit, but we don't see the screenshare.
    • "Introducing" an exhibit only makes it public for attendees, but does not share the exhibit for everyone to see. Invite the attendee to click on the "Present" button to share.
  • An attendee is having trouble uploading an audio or video file.
    • Our application does not yet support audio or video files (mp4, mp3, mov, etc.). Please have the attendee screenshare the file and email it to exhibits@filevine.com to include in the transcript. Make note of the exhibit number in your notes.
  • Where can the attendees go for more information on their app?
