Client Provided Court Reporter Event
What if a client has provided their own Court Reporter?
Some clients prefer that the official record be owned and maintained by their own Court Reporter, rather than a Filevine Digital Reporter. In these cases, a Deposition by Filevine Digital Reporter will still attend to manage the technology and software processes as a Session Assistant. They are not responsible for the living record.
Reminder: The Court Reporter ultimately owns the event; allow them to answer any relevant questions. You are free to answer simple and direct questions - For more complex questions, direct the attendees to Customer Support at (213) 632-5374 or Depositions@filevine.com.
Digital Reporter Responsibilities
- Start the Zoom
- Change your Zoom display name to “Filevine – Session Assistant”
- Assign the reporter as co-host if they ask
- Record attendance with accurate spellings
- Spotlight the witness
- Take notes with general timestamps
- Close out the event
Court Reporter Responsibilities
- Call the record at the start of the proceeding
- Identify attendees on the record
- Swear in the witness
- Confirm read/waive (if applicable)
- Confirm any transcript or copy orders (if applicable)
Handling Orders & Transcript Questions
The court reporter is responsible for handling any orders placed and for all transcription-related tasks, as they have sole ownership of the record.
If the client would like the transcript stored in their Depositions by Filevine account, they can upload it directly once they receive the finalized transcript from the court reporter.
What is my role?
If an attendee is curious what your role as a 'Filevine - Session Assistant' entails you can use the following language.
“I am here to manage the technical aspects of this proceeding and to ensure that the Zoom and Filevine software run smoothly. The court reporter has full ownership of the record, exhibits, and any orders that may be issued.”
Exhibit Management in a Court Reporter Event
As a Session Assistant, you are not responsible for managing exhibits. The court reporter has full ownership of the record and is responsible for gathering anything that must be included in the certified transcript.
If a client would like exhibits managed within their Depositions by Filevine account, they can upload them directly.
