Working with a Session Assistant in California
When covering a proceeding with Filevine, you will be joined by a Session Assistant or Videographer. Their role is to manage the technical and administrative aspects of the session so you can focus on maintaining the record.
Below is an overview of what you can expect when working alongside a Session Assistant.
Role of the Session Assistant
The Session Assistant is responsible for managing the Zoom session and ensuring the proceeding runs smoothly. Their tasks include:
- Reviewing the notice and providing you a (digital) copy if necessary
- Introducing themselves to participants and explaining that the main room is recorded.
- Creating breakout rooms.
- Collecting and confirming accurate attendee names and email addresses.
- Spotlighting the witness and monitoring the recording quality.
- Performing the read-on and read-off as needed.

During the Proceeding
The Session Assistant will open the record by reading the standard script and prompting all counsel to identify themselves. They will also confirm the remote stipulation before prompting you, the Court Reporter, to introduce yourself and swear in the witness.
While the proceeding is in progress, the Session Assistant monitors video and audio quality, assists with participant management.
When a break is requested or taken the Session Assistant will make the appropriate announcements but will defer to you to confirm readiness before resuming the record.
End of the Proceeding
When questioning has concluded and all parties agree to end the deposition, the Session Assistant will read the closing statement and officially go off the record.

The Session Assistant handles participant logistics, troubleshoots audio or video issues, and ensures that transitions on and off the record happen smoothly.
