What to Do Before an Event Starts
All Digital Reporters are required and paid to join scheduled events 10 minutes prior to the listed start time. Doing so ensures that you have ample time to get organized, complete necessary preparations, and be ready for any technical issues.

In those 10 minutes prior to the start of every event here is what you need to do -

Access the Event Script in the Digital Reporter Platform
Open the script and familiarize yourself with dialogue.

Join the Call as Host
Update your Zoom if necessary and join the call.
If there is supposed to be a Court Reporter and they are not present 10 minutes early, let Support know immediately.

Allow the Backup Device
You will need to allow the Backup Device to ensure that we are able to provide a Rough Draft or a Certified Transcript.

Update your Zoom name
You can use the following format to rename yourself “Filevine - Your Role (Your Name)”
Ex: In a Session Assistant event you will change your name to “Filevine - Session Assistant (Your Name)”

Add the Depositions by Filevine digital background
This is required to put our most professional foot forward.

Share your computer audio
Digital Reporter Events: This is required to provide a play back and could be necessary when handling exhibits.

Create breakout rooms
Attendees can request to be put in these rooms to have private off the record conversations.

Open the Live Transcript
You will need to open the Live Transcript and perform a mic check. Ensure that the Live Transcript begins populating before moving on.

Introduce yourself to third-party attendees
Determine if any third-party attendees (Videographers, Court Reporters, Interpreters) should already be present and are not. If there are missing service providers immediately reach out to Support.
Session Assistant Events: Sync with the Court Reporter and/or Videographer to determine who will be reading on the record.

Review the notice
Familiarize yourself with the case and event details.
